For nearly 20 years, I’ve emceed, planned, and executed hundreds of events for Buffini & Company. That experience has given me great insight into what makes an event special. You may never put together a live real estate conference for hundreds (or thousands) of people, but over time, I started to notice a pattern — five consistent principles that make events more powerful, memorable, and community-driven, no matter the size. That pattern became a framework I like to call V.I.B.E.S.™ — because who doesn’t love an awesome acronym?!
Whether you’re planning a small client gathering or a major business conference, these five elements will help you create something people actually want to show up for.
V – Vision
It all starts with purpose. The more time you spend here, the more smoothly things will go during the planning process. Why are you hosting this event? What are you trying to get out of it? Who should be there? How do you want them to feel after the event is over? When you’re clear on what you’re trying to accomplish, everything else tends to fall into place.
I – Intention
Nothing should be done “just because.” If you’re going to spend the time adding an element to your event (and presumably spending money on it), there should be a reason. From the flow of the agenda to the setup of the room, put thought into why things are the way they are. Why this speaker at this point of the event? Why am I serving this food? Why am I serving food at all? Make sure that everything happening at your event aligns with your vision.
B – Build-Up
In “The Art of Gathering,” Priya Parker explains that a big mistake event hosts make is assuming the event starts when guests arrive. But in reality, it starts the moment someone hears it’s happening¹. There is so much opportunity in the days, weeks, and months leading up to your event to build anticipation, excitement, and inclusion. How can you get people ready for the event before they arrive?
E – Experience
People can get content and information anywhere at any time. There was a time when movie theaters had the monopoly on the movie you wanted to see. If you missed it, you’d have to wait over a year before it was available on VHS (Gen Zers, Google what those are). But now you can pretty much watch a movie 5 minutes after it premieres in the theaters — sometimes sooner. That’s why so many theaters are focusing on the experience — the comfy recliner seats, the bars in the lobby, the gourmet food brought right to you — they’re giving you a reason to come to the movies for more than just the movie. The same is true for your event. People need a reason to show up for whatever you’re planning. They need interaction, energy, fun, and connection — things they can’t get on their own.
S – Spark
There are so many opportunities to create magic moments during an event IF you look for them. These off-script, unexpected moments are what really make events special. Actively look for ways to make someone’s day and they’ll remember that forever. As the famous quote goes, “People will forget what you said, they’ll forget what you did, but they’ll never forget how you made them feel.”
